Customers who have integrated Planning Analytics and IBM Controller systems often want to understand when the Controller FAP Client needs an update.
In basic terms, there is an indexation reference that runs between the IBM Controller and Planning Analytics applications. This is run through a tool called the FAP Publish client.
Existing Reporting Structures #
When this update occurs on existing reporting structures that are already published and stable for content, the process runs as normal. There is no requirement for FAP Publish to update. For example, new data entry to an existing company and account code.
Structural Changes #
However, when a structural change is made within Controller, the FAP Publish client triggers an update. This is because the existing indexation of structure within Planning Analytics does not include the new changes.
Where the changes are new elements, or additions to indexation, then the quick fix of ‘Update Structure’ from within the Data Marts tab will typically suffice. This update will push across the new elements.
However, where changes are made to structural content that has previously been published, then existing indexation references will need updating. An update achieved by running either the Partial Initial Publish against a selected period range, or more likely a Full Initial Publish covering all periods.
Impact of a Full Initial Publish #
Running a Full Initial Publish results in downtime for reporting from the Planning Analytics application for the duration of the publish, so must be co-ordinated with the user base to minimise impact. The publish times can vary significantly between customers.
In summary, change management should be treated with care within Controller, particularly when it is integrated with Planning Analytics. Change activity is typically undertaken outside of the period end reporting cycle. This then enables a stable position to be held throughout the subsequent reporting timeline.
